New: Fully digital publication of amendment deeds via JustAct

Since November 2025, the SPF Justice has taken a major step in the digitalization of the Annexes to the Belgian Official Gazette with the JustAct platform. The goal? To reduce administrative pressure on the courts and provide a faster, simpler process for companies and associations.

At Ad-Ministerie, we actively contributed to the development of this application. Thanks to our years of expertise in legal formalities, we can now offer you a fully digital process for filing your amendment deeds (private deeds).

How does it work? 4 easy steps to your publication

We take care of the administrative burden. The process is as follows:

1. Preparation & Check

You send us the signed resolutions (shareholder resolutions or board decisions) via email. Ad-Ministerie immediately checks if your file is eligible for electronic filing via JustAct.

2. Digital Power of Attorney

If digital filing is possible, we request a power of attorney via JustAct (example French) for the authorized signatory.

  • What we need: The last name, first name, and email address of the person who will sign the power of attorney.
  • The action: The authorized person receives an email from JustAct (example French) and signs the power of attorney simply by clicking the link. A paper power of attorney is no longer required.

3. Required Data (based on the resolutions)

To correctly process the publication in the Official Gazette, we need the identification details of each appointed director or permanent representative (as decided in the attached resolutions):

  • Natural persons: National registry number.
  • Legal entities: Enterprise number.
  • This data is essential for the link with the Crossroads Bank for Enterprises (CBE). All data is handled securely in accordance with GDPR regulations.

4. Validation & Publication

Ad-Ministerie prepares the publication and submits it to you for approval. After your agreement and payment of the costs (publication fees and honorarium), we handle the final electronic filing. You will immediately receive the proof of filing and the invoice (securely via PEPPOL).

What if digital filing is not possible?

Don’t worry. If a file cannot be processed electronically for technical or legal reasons, Ad-Ministerie will handle the entire procedure through the traditional paper route. This ensures your publication is always handled correctly.
